Southway Housing Trust’s ageing machines were struggling to cope and needed frequent attention from engineers. Keith explains; “we now have the brand new machines we wanted, they are more efficient and better able to cope with the amount of printing we need to do.” In the longer term this will mean fewer maintenance issues and less down-time.
Pages left uncollected on printers were also an area of concern. New secure printing functionality dictates that users must visit a machine and use a card reader to release their pages. This protects sensitive documents from being mislaid whilst cutting unnecessary output. “We have reduced the number of printers in the building and people have quickly adapted. The location of the MFDs was an important consideration and Arena has clearly done a good job.” Furthermore, ‘Find Me’ printing has stopped queues forming at printers; “people have realized that they can use any printer, or do all their printing at once, which has been well received.”
Defaults on the machines keep one-sided and colour printing in check to preserve toner and paper, whilst print control software provides added insight. Keith comments; “we can report on activity to see who is printing what, the system is much more transparent.”
Arena’s Managed Print Service has also made an impact on the Trust; “we used to have an overwhelming stock of spare toner and it has been such a breath of fresh air to clear that space.” Toner is delivered ‘just-in-time’ as machines are running low, and automatic alerts to Arena mean less time spent sourcing cartridges and comparing prices.
Since the new system was installed, print volume has reduced by 32% and colour usage is down by 30%. Keith comments; “the 32% reduction far exceeds our targets in terms of print volumes.
