Ivanhoe College replaced an ageing infrastructure of printers of varying makes and models. Craig says of the new fleet from Arena; “Immediate benefits have been that we have brand new printers throughout the school so maintenance costs have drastically reduced.” Keeping track of toner is now much easier as every printer uses the same type, and fresh cartridges are delivered “just in time” by Arena. This removes any need for College staff to manage stock or order new supplies. Craig comments; “In terms of ordering toners, the time saving is massive.”
Print control technology has been introduced to support the reduction of wasteful printing practices. Craig notes; “printers are set to automatically duplex and we have pop-up messages that appear every time someone prints something – so they see the cost. We can charge the costs back to departments now too, so the money doesn’t just fall out of my IT budget. All of this contributes to more awareness of how much we’re spending and means we should see costs naturally reduce straightaway.” Arena’s print audit has forecasted a saving on maintenance in excess of 50% within the first year of the new contract and the college is already seeing positive results in terms of lowered print volumes, consumable costs and management time.
This software combines with ‘follow me’ functionality, which places printed documents into a virtual queue, to be released from any networked printer on the site. Craig comments; “the MFDs give us more functionality – they let us scan to email and photocopying is more widely available.” Requiring users to release documents at a printer supports the effort to prevent unnecessary printing, leading to greener practices and improved document security.
Craig tells us that he has been impressed by Arena’s sales process and painless installation; “Our account manager has been brilliant – open with all the costs and quick to get back to us when we made changes to our requirements. I spoke to a couple of other suppliers but I was won-over by the more friendly approach from Arena – there was no ‘death by PowerPoint’, just a chat about what Arena could do for us which was of much more interest to me.” The installation was straight-forward, with machines prepared off-site before delivery and set-up. “It was all in on the Friday and was ready to go on the Monday – it just worked without any hassle or stress - I couldn’t fault it.”
