The positive impact of managed print services: 1 year on at Morrish Solicitors LLP

One year after installing a managed print service for Morrish Solicitors LLP we revisited their head office in Leeds to review the impact of the new strategy. Jaime Lockwood, IT manager, spoke to us about the positive outcome in terms of cost, fleet maintenance and environmental impact.

Jaime told us: “Originally there were two reasons we wanted to do this, the first was looking at cost savings and efficiencies. The second was our Green Policy.

Even though we knew there would be a green impact to duplexing [printing on both side of the page] our printing, we were keen to see the overall effect on efficiencies. We know it’s important to our clients that we use green, environmentally sustainable practices. Now thanks to Arena we are able to demonstrate the impact our green policy is making on the environment. Everyone wins.

We knew the MPS proposal from Arena felt right and we have been delighted by the results it has generated for our business in the first year. The projected costs were impressive but it’s only now that we can look at the evidence and see what we’ve gained. This has been the right move for us as a firm, and we know that it will chime with our clients.”

Greener with Arena
6% Reduction in energy consumption

Morrish took on a fleet of brand new devices designed with the environment in mind. This means lower emissions of ozone, heat and noise.

The new print and copy fleet at Morrish is set to duplex print (both sides of the paper) by default. Jaime says: “Our paper consumption has dropped dramatically, which contributes to our sustainability goals. Providing facilities for our staff to scan and email documents on our new devices has also saved postage costs and processing time in our mail room, increasing our efficiency. Our clients do care about the environment and the world around them, so it helps us to be able to assure them that we walk the walk when it comes to being environmentally friendly.”

Increased productivity: Consumables and maintenance
27% reduction on consumable costs

Jaime used to spend a lot of time ordering consumables such as toner for the printer fleet and arranging to service broken machines. “Arena takes care of all of this for us and everything is automated. When toner runs low we get a new supply without needing to even place an order and if we have a faulty machine an engineer often knocks on our door before we realise there’s a problem. Because consumables are only ordered when needed, less space is taken up with stock and we’re spending 27% less on toner and supplies.”

Improved financial control and cost reduction
26% reduction on print and copy costs

In addition to this, the firm now receives one transparent invoice each month covering all of its print and copy costs. Jaime comments; “We can track our spending easily and we get no nasty surprises. New software allows us to track print and copy output and in terms of financial costs the Leeds branch of the business has seen a 26% reduction in costs over the last 12 months”.
