New pastures for Arena’s electronic document management (EDM) team

The move brings our Sales, Support and Development teams together under one roof, for improved collaboration and team-working.

General Manager Neil Maude comments; “the move is hugely beneficial in terms of understanding and responding to customer needs. We are already noticing the value in being able to get our specialists together, face-to-face and at short notice. This collaborative approach comes into its own when we are designing more complex document management systems which combine elements of print, copy and electronic document management.”

Our teams work together comprehensive audits to understand the way documents are produced, processed, stored and destroyed by client organisations. This presents a detailed picture of the document workflows present, how and why they exist and various resulting outcomes in terms of efficiency, costs (finance, space, time etc) and environmental impact.

With this understanding the teams collaborate on designing a new and improved infrastructure to leverage savings and improvements. Considered technology includes new print and copy hardware, strategically placed, and software to control and monitor print output, user activity, costs and consumables such as toner. Alongside this, electronic document management software may digitize processes and paper document archives to reduce the organisation’s overall reliance on paper – a practice which has multiple clear and proven benefits.

Neil comments; “This holistic methodology often revolutionizes the way an organization works with documents, as can be seen in our clients Reed Boardall, Bradford Grammar School and Leeds Building Society.”

Before the team moved in, Armitage House underwent an additional phase of refurbishment to create a brand new ‘Professional Services and Support wing.’ This has placed all of our technical teams in neighbouring offices with plush new fixtures and fittings to match the other refurbished parts of the building.

Neil adds; “those ‘water cooler’ chats that happen naturally when everyone shares a building, give our teams a more enriched knowledge of our existing customers as well as the markets we are looking to grow Arena’s presence in. This is fairly subtle but it can have a very powerful role in developing the services we provide.”
