mstore award recognises 'exemplary performance and innovation'

Arena’s mstore platform has been confirmed as a finalist for a prestigious award for one of it’s latest applications in the automotive sector. Whilst mstore for automotive is well proven in the sector, a recent development project in collaboration with BMW UK for the BMW retailer network has been well received in the industry.

The 2020 AM Awarda are "dedicated to acknowledging exemplary performance and innovation fundamentally important to our industry; high achievers deserve their time in the spotlight." mstore has been recognised in the best new product category, with the awards ceremony taking place in February. 

This is a specific development of the mstore platform designed to meet the requirements of BMW UK retailers with regards to their processes, systems and business objectives. Essentially, this product for the first time ever digitises paper-based processes across all key operations including deal files, service, HR, ECOS affinity scheme applying Arena’s unique blend of people, process and technology in it’s methodology and approach, and taking a whole business view.

Reliance on paper was recognised to be no longer fit for purpose, not least with the rise in scrutiny of retailers and need to manage compliance from multiple perspectives of the FCA, ICO, HSE and manufacturers.  Another example being the BMW ECOS scheme, which to manage was “labour intensive.”

The new mstore application was developed in close collaboration with BMW UK and dealership, Soper of Lincoln. “The big one for me is the amount of documents that we amass and feel that we need to store. It’s an immense amount of dead paper,” Andrew Tullie, MD of Soper confirms. “The room it takes up and cost of on- and off-site storage is significant, and the productivity lost is immeasurable. Combine that with the GDPR and audit obligations, and all of a sudden we’re very exposed.”

By rethinking the paper heavy workflows, it was also recognised that the interface between BMW and retailers could be improved and processes streamlined to benefit communications and operations which became an objective for the mstore for automotive product.

Whilst the BMW retailer platform is based on proven EDRMS software owned by Arena Group, there are a range of specific developments and new features introduced to realise the overall objectives of paper-free, effective operations that deliver multiple benefits for the BMW UK retailer network. Development also were made to accommodate the specific operations, systems and communications needs at the interface of the manufacturer and their UK retailers including system integration with the CDK DMS and the OEM platform to create a more streamlined, seamless user experience.

Developments required to deliver on the project objectives included new modules for automatically indexing files received into mstore. OCR runs asynchronously identifying the document type from fixed text and employing neural networks and deep learning to perform this task with increasing accuracy. In live situations, mstore’s AI has been proven to reduce the labour required for batch indexing work by 90%.

Also going live for the first time with Soper BMW is the digital signature capabilities of mstore meaning that in many instances, customer facing documentation which previous required a wet signature, can all be captured digitally, creating a more powerful, end-to-end solution.

And the platform, supported by a strong working relationship with the manufacturer and BMW retailers, is already uncovering enhancements and further product developments that can only build on this fortuitous foundation. Examples are provided below.
