Ai and multi-system interfaces to deliver a slick digitised UX at Hatfields

The latest mstore installation interfaces with Pinewood’s Pinnacle DMS and utilises artificial intelligence to deliver a seamless, slicker sales process for users and customers across the Hatfield group.

Hatfields, one of the largest independent dealer groups in the UK for Jaguar, Land Rover and Volvo, has confirmed they are working with Arena Group to digitise their deal file processes with eight of their ten dealerships already live. This welcome change to the way they work in car sales will see paper removed from the showroom, and transform sales admin to tighten up control, visibility and management at the sharp end of the retailer’s operations.

Philip Bennett, Head of Finance at Hatfields looked closely at alternative providers before choosing to work with Arena. “We’ve selected mstore to digitise our deal file processes as we have found Arena to be the genuine experts in document management software and are more professional and authoritative in this space,” confirms Phil. “mstore has the integrity we would expect from a platform for our purpose and I trust it to deliver the results that we need.”

“Moving to digital deal files will eliminate the need for physical archives, vastly reduce the quantity of paper consumed in the business whilst improving operation efficiencies and GDPR compliance,” continues Phil.

This hosted mstore solution including various bespoke features will interface with the dealers’ Pinnacle DMS system, pulling key information across as a seamless, background process, keeping both systems in sync. This automation avoids needless double key entry for administrators, improves data accuracy and provides a single deal file data report for ease of monitoring and control.

Jane Fowler, Sales Administrator has been involved closely in sourcing and rolling out the system. “We’ll no longer have an office full of files or be hunting around for the right documents. Logistically, it’s a lot easier with everything a click away which is a huge bonus for saving time.”

Arena Group has also invested in applying artificial intelligence to enable the mstore software to ‘learn’ to recognise document types and key data better. This more automated environment aims to improve productivity and free up staff from manual, repetitive tasks for more satisfying and value add activities such as customer service or strategic projects.
