Lookers plc is one of the UK’s principal automotive retail and distribution groups with locations throughout the UK. Representing 32 different manufacturers, the business offers customers an extensive choice of new and used cars, motorcycles and commercial vehicles. Despite a challenging economic climate, Lookers plc has prospered over recent years, expanding across the UK.

Group Accountant, Motor Division, Ian McNair; explains; “Our business systems and processes have had to evolve in line with our growth and one issue that became clear to us was a need to enforce more centralised control over print and copy.”

The challenge

Dealing with a proliferation of different suppliers and contracts made billing very complex; greater transparency was needed when it came to budgets, spending and stock. “We had a mixed and ageing infrastructure of printers and copiers - varying makes and models with widely differing costs. The fleet was time consuming to manage and working with a large number of maintenance providers meant there was no common service standard.”

Arena conducted a comprehensive audit to assess print and copy output, activity and costs in terms of cash, energy and environmental impact. Ian McNair comments; “Arena considered convenience, document types and security - placing machines only where we need them.”

Remote monitoring software keeps track of service requirements, alerting Arena to dispatch toner or an engineer as needed. Ian explains; “we no-longer need to spend time on procurement or service calls and all associated costs are consolidated into fixed quarterly bills so there are no surprises. By rationalizing our fleet of print and copy devices, we have reduced the number in service by around two thirds.”

New default settings on the devices have significantly reduced the amount of colour and wasted print jobs; “mono output has reduced by 8% and much more expensive colour, by around 28%. This is expected to deliver annual cost savings of around 34% across our UK motor division, we have an improved capability for monitoring activity going forward - and we have a greener operation too.”
